Exhibiting in the UAE for the First Time: A Step-by-Step Checklist for International Companies

Exhibiting in the UAE for the First Time

Your first exhibition in the UAE can open doors to distributors, buyers, investors, and business partners across the Middle East. But booking a stand at a Dubai or Abu Dhabi show is only just the beginning.

Internal exhibitors also need to coordinate stand design , venue approvals and installation schedules. If this is your company’s first time exhibiting in the UAE, use this practical checklist to prepare without overlooking the details that can cause last-minute delays.

Step 1: Confirm the Exhibition and Book Your Stand Space

Start by understanding exactly what you’ve booked with the organiser. Make sure to confirm:

  • Exhibition dates and venues
  • Stand number, hall and stand dimensions
  • Exhibitor move-in and move-out dates
  • Utilities included in the booking
  • Exhibitor official registration deadlines
  • Official contractor and supplier requirements

If you have booked a space-only stand, you will normally have great design flexibility, but you also have to see other things like design submissions, construction, and venue compliance.

Step 2: Download the Exhibitor Manual

Don’t start designing your stand before reading the event’s exhibitor manual.

Every exhibition and venue can have its own technical requirements and deadlines. For example, Dubai World Trade Centre’s event-management process includes floor-plan and stand-design submissions as well as inspections and exhibitor-access requirements.

Check requirements for stand height, electrical connections, fire safety, hanging structures, storage, materials, signage, and contractor access.

This is especially important for international companies because a stand design that worked at a European, Asian or US exhibition may need modification before it can be built at a UAE venue.

Step 3: Choose an Experienced Exhibition Stand Contractor in UAE

Managing your stand, especially when you are from a different country, can be very exhausting. Local approvals are a task,, and working with experienced exhibition stand contractors in Dubai gives you the local support you need for design development, production, venue coordination, and installation.

Before appointing a contractor, share your:

Stand dimensions → Brand guidelines → Product display requirements → Meeting-space needs → Storage requirements → Budget → Exhibition deadline

Also confirm who will handle technical drawings and venue submissions, rather than assuming these are automatically included.

Step 4: Finalise Your Stand Design Early

Finalise your stand design early, based on what you want visitors to do there. Do you want to demonstrate machinery, hold private B2B meetings, or generate leads?

Once the objective is clear , plan everything around it. Focus on product visibility, lighting, branding , reception ,meeting areas and storage. Make sure people can understand who you are and what you offer in a few seconds.

Step 5 : Prepare your Shipping Documents

If you are bringing exhibition equipment, samples or demonstration products in the UAE, discuss the shipment with an experienced freight forwarder. Prepare a detailed inventory with descriptions, quantities, values, weights, countries of origin, and serial numbers where applicable. Confirm the correct customs procedure for your particular goods with your freight specialist.

Step 6 : Arrange Travel and Exhibitor Access

Next, prepare for the people coming to the exhibition. Check passport and UAE entry requirements, as eligibility differs by nationality. Your team should also confirm exhibitor badges, contract passes , hotel bookings and airport transfers. Choose accommodation based on venue access and not just the product.

Step 7: Plan installation before you arrive

Your exhibition stand shouldn’t start taking shape when your sales team lands in the UAE. Before installation begins, confirm:

Approved design ✓ Production completed ✓ Graphics checked ✓ AV tested ✓ Furniture confirmed ✓ Electrical requirements confirmed ✓ Products scheduled for delivery ✓ Installation team booked

Your local stand contractor in Dubai should also know the venue’s loading, contractor-access and build-up requirements.

Step 8: Prepare for the Exhibition Day

A beautiful stand does not generate ROI on its own. Keep your brochures, business cards, and other essentials accessible. Most importantly, decide how you’ll record and categorise every lead. A simple system like hot lead, distributor , potential client and follow up later can make everything easy.

Step 9: Don't Forget Dismantling and Re-Export

Planning continues after the exhibition closes. Confirm dismantling timings, collection of reusable graphics and equipment, waste removal, return freight and temporary-import closure.

If goods entered under an ATA Carnet or another temporary-import procedure, make sure the required re-export/customs formalities are completed. Failure to correctly validate re-export can create additional customs issues or charges.

First UAE Exhibition? Fotoboxx Can Handle the Stand from Design to Dismantling

For an international company, the easiest approach is to have one UAE-based partner coordinate the stand locally.

Fotoboxx Exhibitions provides exhibition stand solutions in the UAE, helping international exhibitors manage the journey from stand concept and design to production, installation and dismantling.

Instead of coordinating multiple suppliers from another country, your team can focus on preparing products, meetings and sales while the exhibition stand is managed on the ground.
